The Documents to Request at Metalwork Handover
A good handover explains what has been supplied, what has been inspected and what the owner needs for future reference. The exact documents should be agreed for the project, but organising the handover early prevents an avoidable rush at completion. It also helps distinguish accepted work from outstanding items that still require action.
Prepare a document index early
List the drawings, material-related records, inspection results and finish information expected under the contract. Identify who supplies each document and how it will be reviewed. Not every job requires the same package, so avoid copying a large checklist without checking relevance. The index should be useful for this particular scope and clear enough for the responsible parties to track during the work.
Match records to the finished work
Use item numbers, drawing references or agreed locations so the owner can connect documents to installed components. Include approved changes and identify the final revision. A folder containing several versions without an index can create uncertainty about what was actually completed. Photos are valuable supporting records when they show the relevant item and context, but they should not replace specified acceptance documentation.
Separate completion from remaining actions
Record delivery acknowledgements, inspection responses, snag items and their closure status. State which care information has been provided and which specialist parties remain responsible for their components. If something is outstanding, name the action and owner rather than obscuring it inside a general completion statement. A transparent handover gives the client a practical basis for accepting the work and managing it afterwards.
Questions to bring to your project discussion
- Is the handover index agreed for this scope?
- Do records identify locations or item references?
- Are final drawing revisions clearly marked?
- Are outstanding actions recorded with owners?
- Is relevant care and specialist information included?
Your next step
Discuss handover expectations when requesting the quotation. Afnan Group can review documentation requirements for the agreed metalwork package so the project team understands which records will be collected, reviewed and provided at completion.
Prepare a project brief ↗These general project-planning guides are not a project-specific engineering specification. Design suitability, applicable requirements and approvals must be established by the responsible project professionals. Afnan’s interior, architectural and parametric services are design only; metal works can be scoped for design and execution.
